Summary:
Microsoft Stream is modifying versioning to reduce storage space usage. Changes to chapters and transcripts will no longer create new versions, thus not increasing storage consumption. This update is part of Microsoft 365 Roadmap ID 395380 and will be implemented worldwide from mid-July to late August 2024.

Details:
Updated September 25, 2024: We have updated the content. Thank you for your patience.
Video files tend to be very large and consume lots of space against your Microsoft OneDrive and Microsoft SharePoint storage quotas. Currently, when you make metadata changes such as title, description, transcripts, chapters, interactivity, thumbnails, media settings, etc. to files in Microsoft Stream, each of those changes cause new versions to be created. Each of these versions in Microsoft OneDrive and Microsoft SharePoint count the full file size towards consumed storage quota. Thus, for large video and audio files, these versions cause your storage consumption to quickly increase.

To prevent this, we are changing how Microsoft Stream handles versioning. Any changes made specifically to chapters and transcripts of files from Stream will stop making versions, thus preventing storage from increasing as rapidly as it has in the past.

Version Control Changes in Microsoft Stream
Changes to chapters and transcripts will no longer create new versions, preventing users from reverting to previous versions of metadata changes.

Storage Management Issues
Reduced versioning may lead to confusion regarding storage quotas, as users may not realize that changes to metadata will not create new versions, potentially leading to unexpected storage limits.

User Experience with Metadata Changes
Users may experience frustration if they expect to revert changes made to chapters and transcripts, which will no longer be possible due to the new versioning policy.

explanation for non-techies**

Imagine you have a big filing cabinet where you store all your important documents. Every time you make a small change to a document, like adding a note or correcting a typo, you make a photocopy of the entire document and store it in the cabinet. Over time, this can fill up your cabinet quickly, leaving less room for new documents.

This is similar to how Microsoft Stream has been handling video files in OneDrive and SharePoint. Whenever you made changes to the video's metadata—like editing the title, description, or adding chapters—a new version of the entire video file was created. Each of these versions took up the same amount of storage space as the original, which could quickly consume your storage quota.

Now, Microsoft Stream is changing how it handles these updates. Going forward, when you make changes to certain metadata like chapters or transcripts, it won't create a new version of the video file. This is like making a note on your document without making a whole new photocopy. It helps keep your filing cabinet (or in this case, your storage space) from filling up too quickly.

However, if you make more significant changes, like editing the video itself or replacing it with a new version, a new version will still be created. This ensures that important changes are tracked and can be reverted if necessary.

Additionally, SharePoint is introducing new tools to help manage and clean up old versions that aren't needed anymore, much like organizing your filing cabinet to remove unnecessary duplicates. This helps keep your storage usage efficient and manageable.

These changes will happen automatically, so there's no need for you to adjust any settings. It's a helpful update to ensure that your storage space is used more efficiently, allowing you to focus on more important tasks without worrying about running out of space.

2024-09-26MC How AffectChanges to video and audio files from Stream will no longer take version snapshots. This means that any metadata changes made through Stream cannot be reverted to previous versions.
The following actions will no longer create a version in the file's version history:
Editing title or description from within Stream.
Adding or editing chapters, transcripts, captions, or interactivity.
Toggling media settings (show/hide about video, chapters, interactivity, comments, analytics, etc.).
Adding audio tracks.
The following actions will still create a version in the file's version history:
Editing column metadata in SharePoint document library for a video file.
Editing title or description from outside of Stream.
Replacing the file with a new different version of the file.
Other operations outside of the Stream app.
This change will happen by default, and there will not be a way to revert to the previous behavior where everything changed in Stream created versions.
This change will only stop new versions from being taken from Stream. To clean up existing versions of files or versions taken outside of Stream, the SharePoint team has a separate capability and new settings coming that will help clean up low value versions (see Roadmap ID 145802). Admins must complete this action for each site, and it will take approximately 30 days before the new version of the site is in effect.
