Introduction
The Publish reports capability for Viva Insights analysts is becoming generally available. This feature enables analysts to share embedded Power BI reports or custom report links with their organization, improving access to insights and collaboration. Analysts can publish:
Embedded Power BI reports (unfiltered) to users with access to the Copilot Dashboard in Viva Insights through the Microsoft admin center.
Embedded Power BI reports (filtered) to managers, showing only their team's data based on the manager hierarchy.
Custom report links to users and groups in their organization.
All recipients will receive an email notification directing them to the published report. Recipients with access to the Viva Insights web app will see these reports on their Reports tab.
Insight admins have full control over publishing. They can disable the capability or choose which analysts can use it through the VFAM policy. They can also view and remove any published reports.
For customers in the public preview, access to published reports in the Viva Insights Teams app will be removed, and Teams publish notifications will be turned off. Users who do not have access to the Viva Insights web app should bookmark any existing published links to maintain access.
This message is associated with Microsoft 365 Roadmap ID 398974.

explanation for non-techies**

Microsoft is rolling out a new feature for Viva Insights called "Publish reports," which will be generally available in December 2025. This feature allows analysts to share Power BI reports or custom links with their organization, enhancing collaboration and access to insights. Think of it like sharing a Google Doc with your team, where you can decide who gets to see it and what parts they can access.

Analysts can publish reports in different ways: they can share unfiltered reports with users who have access to the Copilot Dashboard in Viva Insights, or they can share filtered reports that only show data relevant to a manager's team. They can also send custom report links to specific users or groups. Once a report is published, recipients will get an email notification and can view the report in the Viva Insights web app.

Insight admins, who are like the gatekeepers, have control over who can publish these reports. They can turn off the feature or limit which analysts can use it. They can also remove any reports that have been published if needed. This is similar to how a manager might oversee who can send out company-wide emails or newsletters.

For those who have been using the feature in a preview version, there will be some changes. Access to published reports through the Viva Insights Teams app will be removed, and notifications through Teams will be turned off. It's like moving a meeting from one conference room to another; you'll need to adjust where you go to find the information.

To prepare for this change, organizations should review their policies on who can publish reports and ensure that Viva Insights is set up correctly. If you've been using the preview version, make sure to bookmark any important links before the transition. Communicating these changes to your team and updating any internal guides will help everyone stay on the same page.
