Imagine your Microsoft 365 profile card as a digital business card that not only shows your name and email but also additional information that might be useful to your colleagues. Starting in March 2026, organizations using Microsoft 365 will have the option to enhance these profile cards by adding up to 10 custom properties from external systems, like HR platforms. This is similar to adding extra fields to a physical business card, such as your department, role, or even your favorite project, which can help others understand your role and expertise better.
To implement this, Microsoft 365 admins will use something called Microsoft Graph People connectors. Think of these connectors as bridges that allow information from other systems to flow into Microsoft 365. Just like you might connect different apps on your phone to share data, these connectors allow data from systems like SAP SuccessFactors or Workday to be displayed on your profile card.
This feature will be off by default, meaning it won't be active until an admin decides to set it up. Once configured, these custom properties will appear in the Contact Information section of your profile card in Outlook Web. It’s like deciding what details you want to show on your business card before handing it out.
Admins will have control over what information is displayed, including the visibility, display name, and icon for each property. This is akin to choosing which details to print on a business card and how they should look. Once the changes are made, it might take up to 24 hours for the new information to appear across all profile cards.
To prepare for this change, organizations should review what information from their external systems would be beneficial to display on profile cards. Then, using the Microsoft Graph People connector, they can bring this information into Microsoft 365. It's also important to inform helpdesk staff and update any internal documentation to reflect these changes.
This update aims to make collaboration easier by providing more context about your colleagues directly within the tools you already use. Just like a well-designed business card can make networking smoother, enriched profile cards can enhance how teams interact and collaborate.
