Summary:
Microsoft Stream is modifying versioning to reduce storage space usage. Changes to chapters and transcripts will no longer create new versions, thus not increasing storage consumption. This update is part of Microsoft 365 Roadmap ID 395380 and will be implemented worldwide from mid-July to late August 2024.

Details:
Updated September 25, 2024: We have updated the content. Thank you for your patience.
Video files tend to be very large and consume lots of space against your Microsoft OneDrive and Microsoft SharePoint storage quotas. Currently, when you make metadata changes such as title, description, transcripts, chapters, interactivity, thumbnails, media settings, etc. to files in Microsoft Stream, each of those changes cause new versions to be created. Each of these versions in Microsoft OneDrive and Microsoft SharePoint count the full file size towards consumed storage quota. Thus, for large video and audio files, these versions cause your storage consumption to quickly increase.

To prevent this, we are changing how Microsoft Stream handles versioning. Any changes made specifically to chapters and transcripts of files from Stream will stop making versions, thus preventing storage from increasing as rapidly as it has in the past.

summary for non-techies**

Microsoft Stream will change how it handles video file updates in OneDrive and SharePoint by no longer creating new versions for changes to chapters and transcripts, reducing storage usage, with the update rolling out automatically between mid-July and late August 2024.

Direct effects for Operations**

Loss of Version Control for Metadata Changes
Changes to chapters and transcripts will no longer create new versions, leading to potential loss of previous metadata states and inability to revert changes.
   - roles: Content Creator, Admin

Increased Risk of Data Loss
Without versioning for metadata changes, users may inadvertently lose important information or context in videos, as there is no way to revert to previous versions.
   - roles: Content Creator, End User

User Confusion and Training Needs
Users may be confused by the change in versioning behavior, leading to a need for additional training and documentation updates to clarify the new process.

Opportunities**

Enhanced Storage Management
With the new versioning approach in Microsoft Stream, organizations can significantly reduce the storage space consumed by video files. This change will prevent unnecessary versioning for metadata updates, allowing organizations to manage their storage quotas more effectively.
   - next-steps: Assess current storage usage and project future storage needs. Train staff on the new versioning approach to ensure they understand the changes and how to manage video files accordingly.
   - roles: IT Administrators, Data Managers, Content Creators
   - references: https://prod.support.services.microsoft.com/office/versioning-in-stream-e9f68891-56b3-4fb1-a45b-da29822ca3a9?preview=true" target="_blank" rel="nofollow noopener noreferrer">https://prod.support.services.microsoft.com/office/versioning-in-stream-e9f68891-56b3-4fb1-a45b-da29822ca3a9?preview=true, https://www.microsoft.com/microsoft-365/roadmap?filters=&searchterms=395380

Streamlined IT Administrative Tasks
The reduction of versioning for metadata changes in Stream will lead to less administrative overhead in managing video file versions. This can streamline IT operations and reduce the time spent on storage management and version control.
   - next-steps: Evaluate existing administrative processes related to video file management and identify areas for efficiency improvements. Consider automating routine tasks related to storage management.
   - roles: IT Administrators, Operations Managers

Improved User Experience
By minimizing the impact of metadata changes on storage quotas, users will have a smoother experience when updating video content. This can lead to increased productivity as users can focus on content creation without worrying about storage limits.
   - next-steps: Communicate the changes to users and provide guidance on how to best utilize the new versioning system. Gather user feedback to identify any further improvements needed in the video management process.
   - roles: Content Creators, Marketing Teams, Training Coordinators

2024-09-26MC How AffectChanges to video and audio files from Stream will no longer take version snapshots. This means that any metadata changes made through Stream cannot be reverted to previous versions.
The following actions will no longer create a version in the file's version history:
Editing title or description from within Stream.
Adding or editing chapters, transcripts, captions, or interactivity.
Toggling media settings (show/hide about video, chapters, interactivity, comments, analytics, etc.).
Adding audio tracks.
The following actions will still create a version in the file's version history:
Editing column metadata in SharePoint document library for a video file.
Editing title or description from outside of Stream.
Replacing the file with a new different version of the file.
Other operations outside of the Stream app.
This change will happen by default, and there will not be a way to revert to the previous behavior where everything changed in Stream created versions.
This change will only stop new versions from being taken from Stream. To clean up existing versions of files or versions taken outside of Stream, the SharePoint team has a separate capability and new settings coming that will help clean up low value versions (see Roadmap ID 145802). Admins must complete this action for each site, and it will take approximately 30 days before the new version of the site is in effect.
