Summary:
Admins will have updated tenant settings for Azure Maps in Power BI, split into three controls. The update requires Power BI Desktop April 2025 version or later. Rollout begins mid-June 2025. Notify admins and users, review configurations, and use endpoint management to check Power BI Desktop versions.

Details:
We've heard feedback that our existing Microsoft Power BI tenant settings for the Microsoft Azure Maps Power BI visual aren't clear enough and don't give admins enough control over what is and isn't available in the tenant. After this rollout, admins will have updated tenant settings for Azure Maps that are split into three controls:
Setting nameDescriptionDefault state
Users can use the Azure Maps visual. When this setting is on, users will be able to create and view the Azure Map visual. Note: This setting does not control whether data is able to leave your region/compliance boundary for mapping purposes. On by default, except for existing tenants that have explicitly turned Azure Maps off.
Data sent to Azure Maps can be processed outside your tenant's geographic region, compliance boundary, or national cloud instance.Azure Maps services are currently not available in all regions and geographies. With this setting on, data sent to Azure Maps can be processed in a region where the service is available, which might be outside your tenant's geographic region, compliance boundary, or national cloud instance.Off by default, except for existing tenants that have turned on Azure Maps.
Data sent to Azure Maps can be processed by Microsoft Online Services Subprocessors. Some Azure Maps visual services, including the selection tool, may require mapping capabilities provided in part by Microsoft Online Services subprocessors. This setting will control the availability of these features.Off by default, except for existing tenants that have turned on Azure Maps.

As part of this change, your organization will be required to update to the April 2025 version of Power BI Desktop or later. In older versions of Power BI Desktop, the visual will show an error message. The message will indicate the tenant setting needs enabling, but to fully resolve it, the user needs to update their version Power BI Desktop. You can use an endpoint management service such as Microsoft Intune to identify the versions your users are currently using.
This message applies to Power BI for Windows desktop and the Power BI service on the web.
[When this will happen:]
General Availability (Worldwide): We will begin rolling out mid-June 2025 and expect to complete by late June 2025.

Version Compatibility Issues
Users with older versions of Power BI Desktop will encounter error messages indicating that the tenant setting needs enabling, leading to disruptions in their ability to use Azure Maps visuals until they update to the required version.

Microsoft is updating the way administrators can control the use of Azure Maps in Power BI, providing more granular settings. Imagine you're a landlord managing an apartment building. Previously, you had a single key that opened all the doors, but now you have three separate keys for different areas, giving you more control over who can access what.

The first setting is like the main entrance key. It allows users to create and view Azure Maps in Power BI. By default, this door is open for new tenants, but if you've previously locked it, it will remain locked unless you decide otherwise.

The second setting is like a key that allows certain deliveries to be made from outside your neighborhood. This setting lets data be processed in regions where Azure Maps services are available, even if that's outside your usual area. This is turned off by default unless you've already been using this feature.

The third setting is akin to allowing maintenance workers from a trusted company to perform services in your building. It permits some Azure Maps features to be processed by Microsoft’s subprocessors. Again, this is off by default unless you've previously enabled it.

To use these new controls, you'll need to ensure that your Power BI Desktop is updated to the April 2025 version or later. Think of it like upgrading your building's security system to work with the new keys. Without this update, users will see an error message indicating that the tenant setting needs enabling, but the real fix is updating the software.

This change will roll out automatically in June 2025, so it's a good idea to inform your team and check which version of Power BI Desktop they are using. You can use a tool like Microsoft Intune to manage and verify the software versions across your organization, similar to how a property manager might use a system to track which apartments have been upgraded with new locks.

By understanding and preparing for these changes, you can ensure a smooth transition and maintain control over how Azure Maps is used within your organization.
