We are beginning the process to standardize all transcript storage to OneDrive, starting with the storage of transcripts for meetings that only have transcription enabled. Previously, meetings with only transcription enabled saved the transcript file to the meeting organizer's Exchange Online, while meetings with both recording and transcription enabled saved two transcript copies-one that is coupled with the recording saved to OneDrive and another transcript copy saved to the meeting organizer's Exchange Online.

Now with this feature, meetings that have only transcription enabled will also save two copies (one in OneDrive and one in Exchange Online), but all meeting transcript entry points in Teams app will point to the OneDrive copy only, no entry points for meeting transcripts will source from the Exchange Online copy. At the same time, meeting transcripts will stop saving in Exchange Online altogether and all transcript storage will be standardized on OneDrive only.

The rollout of this feature also improves both the experience of meeting organizers to manually delete the transcript, as well as the ability for IT administrators to apply retention policies to the transcripts from meetings that only had transcription enabled.

Today, we are announcing that, beginning in January 2025, Exchange Online will begin enforcing an external recipient rate limit of 2000 recipients in 24 hours.

Exchange Online does not support bulk or high-volume transactional email. We have not enforced limiting of bulk email until now, but we plan on doing so with the introduction of an External Recipient Rate (ERR) limit. The ERR limit is being introduced to help reduce unfair usage and abuse of Exchange Online resources.

Important update regarding the cloud hosted Mailbox External Recipient Rate Limit: After carefully considering your feedback and understanding the need for additional time to adjust, Microsoft has decided to delay the rollout of the cloud hosted Mailbox External Recipient Rate Limit (MERRL) by ~six months. The MERRL will go into enforcement in October 2025 for trial tenants and new tenants provisioned after October 1st, 2025. In October 2025, the Exchange Admin Center Report will be available for tenant admins to review Sender mailbox data on external recipient volume. In April 2026, the MERRL will go into enforcement for all tenant's cloud hosted mailboxes including existing tenants.

In 2023, we introduced Microsoft Teams apps that are compatible with Microsoft Outlook and the Microsoft 365 App (manifest version v1.13 or higher). Before this rollout, admin changes made in the Integrated apps section of the Microsoft 365 admin center would only affect these Teams apps in Outlook and the Microsoft 365 app. Similarly, changes made in the Teams admin center would exclusively affect Teams. Starting in June 2024, we will roll out Unified App Management to streamline the management of these apps across Teams, Outlook and the Microsoft 365 App, so they are consistently available across all supported clients.

Keeping Microsoft Teams up to date is critical to ensure your devices are secure and compliant. By default, and as designed, Teams updates automatically which successfully updates most clients in the world without additional overhead for customers.

Microsoft Teams is governed by the Modern Lifecycle Policy which requires that the Teams desktop client be kept up to date. This is not a new policy, for instance in MC298823 (November 2021), a version that is far out of date will become incompatible with the service until it's updated. As documented, when a client falls out of date, the user will see:

Recurring in-app alerts, if the app is between 30d-90d out of date.

With the pinning control, you have the option to pin or not pin Copilot for your users. If you select to not pin Copilot, you also have the option to allow your users to be notified to make this choice. If no action is taken, Copilot will not be pinned but users will be notified to pin it themselves.

Currently, you can remove access to Copilot in the Microsoft 365 app and copilot.cloud.microsoft as documented in Removing access to Microsoft Copilot. These controls will continue to be respected as the Copilot app rolls out in Outlook and Teams.

Users can unpin Copilot in Outlook. Users can unpin Copilot in Teams if User pinning is enabled in app Setup policies.

Currently, you can remove access to Copilot in the Microsoft 365 app and copilot.cloud.microsoft as documented in Removing access to Microsoft Copilot. These controls will continue to be respected as the Copilot app rolls out in Outlook and Teams.

In addition, you will be able to allow and block the Copilot app from appearing in Outlook, the Microsoft 365 app and copilot.cloud.microsoft through Microsoft 365 admin center (MAC) like you would manage availability for any other app. These controls are already provided today for Microsoft Teams through Teams admin center (TAC).
